We are seeking an experienced and highly organised Accounts Payable officer to join our Finance & Accounting team.

This is a hands-on role responsible for managing the day-to-day accounts payable function, from invoice processing and supplier payments through to reconciliations, international payments and supporting the broader finance team. It will suit someone who takes pride in accuracy, enjoys keeping things organised and can confidently manage competing deadlines in a busy environment.

As part of a small, close-knit finance team, you’ll also need to be adaptable and willing to pitch in when priorities shift, particularly during our major sales and event periods.

About the Role

Reporting to the Accountant, you will take ownership of the accounts payable process and help ensure payments are processed accurately, efficiently and in accordance with internal controls and payment schedules.

This is a varied role extending beyond traditional invoice processing, with exposure to domestic and international payments, supplier and credit card reconciliations, corporate travel, fleet administration and broader finance support.

Magic Millions operates in a unique, event-driven environment. During key Thoroughbred Auction Sales, some extended hours and weekend work will be required, with a maximum of six weekends across the calendar year. Outside these key event periods, the role is based at our Bundall office during standard business hours.

Key Responsibilities

  • Manage end-to-end accounts payable, including invoice coding and processing, supplier payments and account maintenance
  • Prepare domestic and international payments, payment batches, BPAY transactions and banking uploads
  • Complete supplier, company credit card, petty cash and other account reconciliations, investigating and resolving discrepancies
  • Respond to supplier queries and maintain accurate financial records and supporting documentation
  • Support month-end processes, reporting and continuous improvement of accounts payable processes
  • Manage related corporate administration, including fleet cards, vehicle requirements and corporate travel invoices
  • Work collaboratively across the Finance & Accounting team, particularly during busy sales and event periods

What We’re Looking For

  • At least 2–3 years’ experience in accounts payable or a similar finance role
  • Strong end-to-end AP experience, including invoice processing, payments and reconciliations
  • Exceptional attention to detail and a high level of accuracy
  • Strong organisational skills and the ability to manage competing priorities and payment deadlines
  • Confidence dealing professionally with suppliers and internal stakeholders
  • Good Microsoft Excel skills and experience using accounting or ERP systems
  • A collaborative, team-first approach and willingness to help where needed
  • The ability to remain calm, organised and accurate during high-volume periods
  • Flexibility to work extended hours and weekends during auction and event periods.

Desirable Experience

  • Experience with NetSuite, Ardex or similar finance systems
  • Experience processing international payments and using banking platforms
  • Previous exposure to the Thoroughbred, racing or bloodstock industry.

Receptionist

About the Role:

As the Receptionist at our Gold Coast headquarters, you will be the first point of contact for clients and guests, providing a warm and professional welcome while supporting the smooth day-to-day running of the office.

This full-time role reports to the Customer Relations Manager and involves a mix of front-desk reception duties, administrative support, and office coordination. It’s perfect for someone who thrives in a client-facing role, has a great phone manner, and takes pride in delivering excellent customer service.

You will also have the opportunity to support key events during our sales periods, which may involve occasional weekend work.

Responsibilities:

  • Provide a friendly, polished first impression for all visitors and callers
  • Manage incoming calls, emails, and general enquiries
  • Sort and distribute incoming and outgoing mail and couriers
  • Maintain front-of-house presentation and daily reception operations
  • Coordinate stationery, kitchen supplies and uniform stock
  • Assist with boardroom and meeting room setups
  • Process invoices and perform ad hoc administration and data entry
  • Support merchandise fulfilment and assist the marketing team with promotional items
  • Organise monthly morning teas and contribute to our positive workplace culture

What We Are Looking For:

  • At least 2 years’ experience in a receptionist or administration role
  • Professional presentation and excellent communication skills
  • Friendly, proactive, and team-oriented mindset
  • Strong organisational skills and ability to multitask in a fast-paced environment
  • Tech-savvy with confidence using Microsoft Office (experience with Ardex Premier highly regarded)
  • A passion for providing outstanding customer service
  • Availability to work weekends and extended hours during major sales events
  • Prior experience in the thoroughbred or racing industry is highly desirable
